Adjustment, seal replacement or hardware repair do not become different technical jobs simply because the customer is a business. The difference appears when, instead of one window, the service has to cover dozens or a larger number of constructions without unnecessarily disrupting the operation of the property.

In that situation, it matters not only what needs repair. You also need to know where each reported window is located, what symptom it has, which problems should be handled first, when rooms can be accessed and how the business wants the completed work to be accepted and documented.

The larger the property, the more window service becomes an organisational task as well as a technical one.

The biggest difference begins before the first repair

With one faulty window, diagnosis can start with that specific problem. In a larger property, it is worth organising the scope first: which windows need inspection, what symptoms they have and which problems interfere most with normal use of the rooms.

Only then does it become clear whether the job involves one repair, a series of similar repairs or an inspection of a larger part of the window stock.

This does not mean that staff should diagnose the faults in advance. A clear description of the symptom is enough to prepare the report.

Do not start with a parts list — start with a window list

For a larger property, a simple report list is extremely useful. Three pieces of information are enough for each window: where it is, what is happening and how urgent the problem is.

For example:

— office 204 — the handle turns with strong resistance,
— conference room — the sash rubs while closing,
— reception — air movement can be felt around the closed window.

This is more useful than writing “hardware needs replacing” or “new seals required”. Handle resistance, rubbing and leakage are symptoms; inspection should establish the cause and the repair scope.

What to clarify before window service in a business property

Before the first visit, it helps to answer six simple questions.

1. Which windows need checking?
In a larger property, saying “a dozen windows need repair” is not very useful. A room number, floor, zone or another clear identifier helps.

2. What symptom does each window have?
Describe what the user sees or feels: the handle resists, the sash rubs, the window will not close properly, or air movement is noticeable. There is no need to name the failed component.

3. Which reports have priority?
Not every problem is equally disruptive. Mark the windows that interfere most with normal use of the room or should be inspected first.

4. When can the windows be accessed?
Business opening hours are not the only issue. A window may be in an office, conference room, warehouse or another restricted area that needs access arranged in advance.

5. Who can approve a change in scope after diagnosis?
Inspection may show that the real work differs from the original report. For a larger job, it helps to identify the person who can approve additional work or a change in scope.

6. What documentation does the business need?
This should be agreed before work starts, especially if the company needs a service report or an itemised schedule for individual windows in addition to the invoice.

Not every window needs the same priority

With many reports, simply mark which problems should be inspected first. There is no need to create a complex classification system.

Higher priority may be given, for example, to a construction that cannot be closed correctly or used normally. Lower on the list may be a symptom that does not prevent use but still needs diagnosis, such as increasing handle resistance or local leakage.

This prioritisation is for organising the work, not for technical diagnosis.

How to plan access and the order of work

With many windows, time is lost not only on the repairs themselves. Work can also be delayed by a locked room, a meeting that cannot be interrupted or the need to find someone who has access to the next area.

Before the visit, it is therefore worth agreeing the order of rooms and making sure the reported windows will be accessible. If part of the work has to be done outside business hours, that should also be known before the way the job will be carried out is agreed.

In a larger property, a sensible order of work can be as important organisationally as the fault list itself.

Agree the documentation before the work starts

A business may need more after the service than confirmation that the work was completed. The documentation scope is therefore worth agreeing before the job begins.

As standard, we issue a VAT invoice to the company and a service report describing the work completed and the materials used. If the property needs an additional schedule relating to individual windows, that documentation should be agreed before the work.

Who approves additional work after diagnosis?

The wording of a report does not always match what is found during inspection. A “broken handle” may turn out to be a different fault, and one of several reported windows may require a different scope from the rest.

For a larger job, it therefore helps to name a contact person who can approve a change in scope or an additional repair after diagnosis.

This reduces situations where work stops simply because no one knows who on the business side can make the decision.

When ongoing service terms make sense — and when a one-off job is enough

A standing service contract is not necessary for every business. If the issue concerns a few windows and there is no need for regular support after repair, a one-off job may be enough.

Ongoing service terms become more useful when reports recur, the property has a larger number of windows or the business wants to define communication, documentation and organisation of future visits in advance.

The choice should therefore follow how the property is used and what the business actually needs, rather than the simple fact that the customer is a company.

If the way faults are handled matters to the property, it is also worth agreeing how such reports will be sent and who the contact people are. Response time itself depends on the type of problem, location and current team availability; under ongoing service terms, the communication process can be set in advance.

What determines the quote for a business property

For a larger job, price depends on more than the number of windows. Their type and condition, the actual work scope, required materials and the way access has to be organised also matter.

Two properties with a similar number of windows therefore do not necessarily mean the same scope or cost. The quote should follow what actually needs to be done.
